Invite people outside your family to an event

Some events involve people who aren't in your Sense family: the coach, a grandparent who doesn't use Sense, the parent you trade carpool days with, the babysitter. Invite them to just that event and they get a real calendar invite by email. It lands in Gmail, Outlook, Apple Calendar, or whatever they already use, and they don't need Sense to answer.

Invite someone

  1. Open the event.
  2. Next to Guests, tap Invite (or Edit if it already has guests).
  3. Type their email. After @, Sense suggests the domain (gmail.com, icloud.com, or ones your family has used before), lists people you've invited before, and catches typos like gmial.com.
  4. Tap Send invite. The line above the button says exactly who gets an email, and nothing is sent until you tap it.

You can add guests while creating an event too: open More options and fill in Guests. Pasting a list of addresses, or a line like Coach Mike <mike@club.org> copied from an email, adds everyone at once.

What your guests see

The email comes from you via Sense, and replies go straight to you. It shows the title, time, place, and any links, with Yes, Maybe, and No buttons. Your event notes stay private unless you choose to include them; tap Preview the email to see exactly what they'll get and switch notes on or off.

When a guest answers, you get a notification, and their answer shows on the event the way Google Calendar shows it: a summary like 2 guests · 1 yes, 1 awaiting, and a check, question mark, or cross on each guest for Yes, Maybe, or No. To send the invite again to someone who hasn't answered, tap their name in the app, or hover over it on the web and choose Resend.

When plans change

  • Changing the time, place, or title - Sense asks whether to email your guests the update. If you send it, their calendar updates in place.
  • Deleting the event (or one day of a repeating one) - Sense asks whether to tell them it's off.
  • Removing a guest (tap Edit, remove them, then Remove guest) - they get a note that they're off the guest list, and the event leaves their calendar.

Changes that only matter to your family, like who's going or alerts, never email anyone.

Guests belong to the whole series of a repeating event, so invite from the series rather than a single day. Events brought in from another calendar can't have Sense guests; invite people from that calendar instead.

Good to know

  • Anyone already in your Sense family sees the event in Sense, so they can't be added as guests.
  • To stop suggesting someone you invited before, hover over them and click the x on the web, or touch and hold them in the app. Events they're already invited to keep them.
  • Guests can stop invites from your family, or from everyone on Sense, with the link at the bottom of any invite.
  • Kids, and Kid Mode, don't see guests or invite controls.
Add the coach to the season's practice series once, and every schedule change reaches them without a group text.
